How a file moves, and how it's protected.
Confidentiality is the part of this arrangement that a partner is right to interrogate first. Here's the actual answer.
The process
You share the file
Either through secure access to your own system, or by sending the file across. Either way, scope and turnaround are agreed in writing before work starts.
We prepare it
Chart of accounts aligned to GIFI, GST/HST transactions separated, and the compilation or T2 work completed to standard.
You review and sign
The file comes back structured for review, under your firm's name, with a clear trail from source to schedule.
How We Work
What You Can Expect From Every File
Outsourcing only works when the work coming back to your firm is accurate, complete, predictable and ready for review.
That is the standard we build every file around.
The numbers tie.
Our accounting work is prepared so the CaseWare trial balance agrees with the financial statements, and the same balances flow accurately into the GIFI schedules and T2 return. Reconciliations are completed, not assumed, and differences are resolved or explained.
The file tells the story.
Supporting documents, working papers, schedules and explanations are organized so that a CPA or manager can understand the numbers without having to reconstruct how the file was prepared.
Exceptions are surfaced, not buried.
Unusual transactions, missing information and unresolved variances are identified and brought forward when professional judgment is required. We would rather raise a question than leave an invisible problem behind.
We do not guess.
When the information does not support a conclusion, we stop and ask. An open question is easier to resolve than an undocumented assumption that later becomes a review issue.
Every review note has a purpose.
When a reviewer identifies an issue, we correct more than the individual file. We look for the underlying cause and, where appropriate, strengthen the checklist, SOP or client-specific process so the same issue is less likely to return.
Deadlines are part of the deliverable.
A file is not successful simply because it is correct. It must also arrive when your team needs it. Turnaround commitments are built into the workflow and managed accordingly.
Client knowledge stays with the file.
Recurring entries, accounting treatments, client preferences and prior decisions are documented so that the next compilation, year-end file or T2 preparation begins with the knowledge already gained.
Every file has an owner.
There is a clear person accountable for the work, the outstanding items and the final handoff. You should never have to chase a file to find out who is responsible for it.
The Standard
Our goal is not to send your firm more accounting work to review.
It is to give you a clean, supported and review-ready file that you can move forward with confidence.
Because for a Canadian CPA firm, the real value of outsourced accounting is not simply how much work gets completed.
It is how little work your team has to redo.
Confidentiality and controls
Signed confidentiality agreements
Everyone with access to client data signs a confidentiality agreement before touching a file. A mutual NDA with your firm can be in place before the first document moves.
Result: your obligation to your client is contractually mirrored down the chain.Work performed on your systems where possible
Wherever your setup allows it, work is done through secure remote access to your own environment rather than by moving data out of it.
Result: the data stays where your firm already controls it.Controlled physical workspace
Work is performed in a dedicated office with biometric entry control, continuous CCTV monitoring, and a strict no-personal-device policy in work areas.
Result: no informal copies, no phone cameras, no unlogged entry.Access limited to the active file
Access is granted per engagement and removed when it ends. No standing access to systems or data beyond the work in progress.
Result: exposure is scoped to the file, not the relationship.Start with two or three files.
No minimum commitment. See how the work holds up before deciding on anything more.
